State of the Map 2025/Invitation letters
This page is intended for people who need an invitation letter from the OpenStreetMap Foundation, who organises the international SotM 2025 conference, in Manila, Philippines.
Requesting an invitation letter to attend State of the Map 2025
Please note that you must purchase your SotM 2025 ticket, before requesting an invitation letter. Exceptions: SotM 2025 travel grantees and potentially some SotM 2025 volunteers.

Recommended email subject: SotM 2025 invitation letter request - Your_Name(s) YOUR_SURNAME(S)
Information needed for invitation letters
- SotM 2025 ticket order code - this is automatically emailed to you, once you purchase your SotM 2025 ticket.
- Name exactly as in passport, including any multiple first or middle names (last names in capital letters).
- Passport number.
- Residential address, including country of residence.
- Date of birth in YYYY-MM-DD format (optional but it may help).
- Profession, if applicable (optional but it may help).
- Work address, if applicable (optional but it may help).
- Title of accepted State of the Map 2025 talk(s) - if applicable.
- Country where the Visa application will be made, or specify evisa.gov.ph
Data use
The data above will be used just for the creation of the invitation letters. The data will be available to:
- The State of the Map Working Group volunteers, who are recipients of emails to sotm@openstreetmap.org
- Dorothea Kazazi (OSM Foundation Administrative Assistant), who will create the invitation letters.
- The OSM Foundation Director who will sign the letters.
Notes on Visa applications
Below are some notes from the official Philippine Visa portal. Please do your own research.
Passports
- Applying for a Philippine visa will require that the applicant's passport be valid for six (6) months beyond the applicant's date of departure from the Philippines.
- The Philippine Embassies/Consulates will only accept electronic passports and machine readable passports for visa applications. Non-machine readable passports or hand-scripted passports will not be accepted for visa applications. The Visa Officer has the right to ask for any additional documents that may be deemed necessary.
Visa processing
- The processing time of e-Visas will be 7-12 working days for single entry and 15-21 working days for multiple entries.
